Integration of content management systems in the translation process

Translation processes are part of complex company-internal workflows and are frequently embedded in appropriate software environments and editing systems, e.g. a content management system (CMS) based on web technologies. Website contents are prepared in different departments of a company. At the same time, information for interested parties and customers must also be offered in different languages especially on the internet. But before the contents are submitted to a language service provider like KERN Global Language Services, they were prepared, structured and where necessary also formatted by different editors, and are available for the setup of the company website in an editing or content management system.

The type and quality of source data essentially determine the cost for the preparation and the post-processing of the website content for an effective and high-quality translation with use of a translation memory system. The texts to be translated are extracted from the relevant content management system (e.g. Contao, Firstspirit, Joomla!, Typo3, Wordpress) by means of extensions and in a platform-independent format (e.g. XML, XLIFF), converted into an exchange format by the translation engineers at KERN Global Language Services during the process of preparing the document for translation with a translation memory system, and finally (during the post-processing stage) the translation is converted back into the original document format and reimported into the CMS – and all that without losses in the target language in terms of content, source code or scripts (Flash, Java, PHP). Depending on the system, the data to be translated can be automatically selected from the CMS via interfaces, transferred to KERN Global Language Services to translate, and published on the website after the subsequent automatic reimport into the CMS by CLI (Common Line Interface).

The advantages of this workflow: for an XML- or XLIFF-based export and reimport, the costs of translation and management of the CMS content are much lower than in comparison to error-prone copy and paste of the contents in Word or the direct translation in the CMS interface, which is for the most part not designed for translation purposes. Likewise, stylistic and terminological consistency can be ensured by using translation memory systems and customer-specific terminology databases, and additional quality assurance functionalities of the translation memory systems used or of external QA checkers can be applied.

Some CMSs offer the possibility of arranging an automatic export via an interface, data transfer or email when changing the content of the website. The changes can therefore be forwarded directly to KERN Global Language Services. Such a data exchange on the basis of XML files allows for a quicker availability of the multilingual information as well as huge savings.
